6-12 Attendance Policy Update

  • Starting Tuesday April 14, there will be an additional component for how we track attendance.  Normally, during in-person school, teachers record attendance based on who is in the room. Students are marked present regardless of the work they complete.  Last week it was identified that our attendance was being tracked more for an accountability of learning versus students being present. The district needs attendance to be 100% accurate and based on which students were present, versus who completed specific learning tasks. 
     
    In order to help with that all teachers will post a discussion board in their course for each period, every day. Students will simply have to submit their name in the discussion board.Students will have between 8:00 am and 11:59 pm to complete this. Then on the following day, teachers will use the data in the discussion board to record students present or NDLAs long as a student puts their name in the discussion board prior to 11:59 pm they will be marked present.  Official attendance will continue to be taken in PowerSchool by using the multi-day or seating chart tools. Of course students are still expected to complete the expectations set by teachers, but this process helps to separate attendance from the accountability of learning.
     
     

Teacher Tracking of Attendance

  • In accordance with state requirements, Hmong College Prep Academy will continue to take attendance during distance learning. Accountability for learning (completing assignments/assessments) will be separated from showing up for distance learning (attendance).

    If students are ill and are unable to engage in distance learning, parents should call HCPA to inform staff and update attendance. Please call the attendance hotline at 651-332-8567, or call the main office at 651-209-8002.

    In Kindergarten through 2nd grade, attendance will be tracked through a variety of ways, including online activity and/or regular communication with the parent or family (phone calls, Schoology logins, Seesaw, Raz-Kids participation, etc.). Teachers will reach out to parents and families through a variety of communication methods to record engagement with the distance learning material. Weekly attendance will be entered in PowerSchool every Monday for the previous five days of learning.

    ● Teachers will utilize the multi-day tool in PowerSchool to record attendance. If a student demonstrates online presence the cell will be left blank (indicating the student was present). If the student does not show an online presence, the attendance code NDL (No Distance Learning) will be utilized.This indicates the student was not present online. The Administration will use that information to help inform which families to continually reach out to.

    In 3rd through 12th grade, attendance will be tracked by:
    ● Participating in online classes and/or teacher office hours through Schoology Conferences or Zoom.
    ● Completing daily tasks assigned by the teacher (FlipGrids, Schoology discussion boards, work on google docs,etc.)

    In 3rd through 5th grade, weekly attendance will be entered in PowerSchool every Monday for the previous five days of learning.

    ● Teachers will utilize the multi-day tool in PowerSchool to record attendance. If a student demonstrates online presence the cell will be left blank (indicating the student was present). If the student does not show an online presence, the attendance code NDL (No Distance Learning) will be utilized.This indicates the student was not present online. The Administration will use that information to help inform which families to continually reach out to.

    In 6th through 12th grade, attendance will be taken at 8:00 a.m. for learning experiences completed for the previous day.● Attendance is to be taken at 8:00 a.m. for the previous school day (i.e. the teacher records attendance

    online at 8:00 a.m. on Tuesday, and records the attendance for Monday).

    ○ Attendance for Friday’s must be accounted for on the following Monday at 8:00 a.m.
    ● Student work hours are between the start of the class period and 7:59 a.m. the next day. Any work done per the

    teacher’s communicated work expectations during this time period should be considered evidence of student

    online presence.
